Connect mailbox via IMAP/SMTP

Go to Settings -> Email channel and choose the manual IMAP/SMTP option when your provider is not Google or Microsoft.
You will need, from your mail provider:
- IMAP host, port and whether TLS is used, plus the user name and password.
- SMTP host, port, TLS setting, user name and password.
EspressoDesk stores these credentials encrypted and uses them for both directions: reading new mail and sending your replies. Save the form and the connection is tested immediately; any error message from the server is shown so you can correct the port or password.
If your provider requires an app-specific password, generate one there and paste it instead of your normal password.
What you need
Four things from your provider: the incoming server and port, the outgoing server and port, whether encryption is SSL or STARTTLS, and the user name with its password or application password.
Step by step
- Open Settings -> Email channel and choose the manual connection.
- Fill in the incoming and outgoing details and save.
- Send a test message from a private address and confirm the ticket appears.
- Reply from EspressoDesk and confirm the answer arrives with your address as the sender.
Common problems
- Authentication fails: your provider needs an application password, not the normal one.
- Mail arrives but replies do not leave: the outgoing port or encryption is wrong, or the provider requires authentication on sending.
- Nothing arrives at all: the incoming server rejects the connection, often because access for external programs is disabled in the mailbox settings.
