Embed YouTube videos in articles

A short video often explains a workflow faster than three paragraphs. Both knowledge base articles and announcements support YouTube embeds.
How to add one: copy the video ID (the part after v= in the URL, for example dQw4w9WgXcQ) and put it on its own line:
When the article is displayed the line is replaced by a responsive player that fits the page on desktop and mobile. Everything around it stays normal text, so you can mix video with steps and screenshots.
Good practice: keep videos under two minutes, add a short written summary above the player for people who cannot use sound, and use unlisted videos if the content is only meant for your customers. Nothing is uploaded to EspressoDesk: the video stays on YouTube and is loaded by the visitor's browser.
Troubleshooting
- Nothing appears where the video should be: the marker is not on its own line, or you pasted the full URL instead of the video ID.
- The player shows an error: the video is private. Unlisted works, private does not.
- The video looks tiny: do not put the marker inside a list item or a quote; keep it as a separate paragraph.
Good to know
- Videos load only when the article is opened, so they do not slow down the rest of your knowledge base.
- The AI chatbot reads the written text of an article, not the audio of a video, so always keep the key steps in writing under the player.
- The same marker works in announcements in the news panel, which is handy for a short release note.
- Because the file stays on YouTube, editing or replacing the video there updates every article that embeds it, with no change needed here.
